Te Rūnanga o Ngāti Tama is seeking a Te Pou Tari / Executive Assistant & Office Manager to provide high quality administrative and operational support. Reporting to Te Pou Ārahi / General Manager, this varied role combines executive support and office coordination, with responsibility for organising meetings and events and coordination of Ngāti Tama projects. The role also provides administrative support to the Chairperson and Board subcommittees. 


The Runanga works on behalf of and for the benefit of Ngāti Tama uri and is now moving into the next phase of implementing its strategy, Tama Manawanui, Tama Manawaroa – Te Ara ki 2030. 

This is an exciting opportunity to play an integral role in keeping the many moving parts of the Ngāti Tama offices running smoothly from coordinating projects and events to supporting day-to-day operations.

General Board and Trustee secretariat functions will be provided separately, allowing this role to remain focused on operational and executive support rather than full governance secretariat work. 


Overview

Some of your key responsibilities will include: 

  • Providing executive support to Te Pou Ārahi / General Manager and the Chairperson, including proactive diary management, meeting coordination and prioritisation of commitments. 
  • Providing general administrative support to the Ngāti Tama operations team and the Chairperson and helping ensure the day-to-day office operations run smoothly. 
  • Coordinating Ngāti Tama projects, events and hui from planning through to completion, including uri engagement hui, wānanga, the AGM, Special General Meetings. 
  • Coordinating Board subcommittee meetings from logistics to preparation and distribution of meeting papers. 
  • Being an approachable key point of contact for uri, staff and stakeholders and coordinating engaging and timely communications. 


Requirements

Ngā pukenga me ngā wheako I Our Ideal Candidate: 

  • We're seeking candidates whose skills, experience and attributes reflect the following: 
  • A minimum of 5 years' proven Executive Assistant experience supporting senior leadership. 
  • Qualifications in office administration, business studies or a related discipline is preferred but not essential. 
  • Advanced proficiency across Microsoft Office and Google Workspace, with confidence using AI tools and picking up new software quickly. 
  • Proven experience managing office systems and operating in high-trust, confidential environments. 
  • Strong proofreading skills and experience as an accurate, reliable minute-taker. 
  • Exceptional written and verbal communication skills, with sound judgement and absolute discretion. 
  • Knowledge of Te Tiriti o Waitangi and experience working in a kaupapa Māori environment would be advantageous but is not essential. 

This is a full-time position based in Bell Block, which may require attendance at subcommittee meetings, hui or events outside standard weekday hours.
